Assistant Office Manager

Job Summary:
The Assistant Office Manager position is responsible for ensuring the office activities and accounting function run smoothly and work with the management team in order to provide outstanding customer service in a timely, accurate and professional manner. This position is expected to understand and adhere to all acceptable company accounting policies and practices Performs any combination of calculating, posting and verifying duties for applicable accounting functions. May include processing invoices, expense reports and credit card logs. May include issuing payments through various means. May include ensuring payment deadlines are met. May include inputting payroll time entry or other payroll related transactions. Other duties as assigned by supervisor.
Minimum Qualifications:
1. High school graduate or GED equivalent.
2. Payroll and Certified Payroll experience.
3. 10 year’s of related experience.
4. Good analytical and financial skills.
5. High ethical and moral standards.
Preferred Qualifications
1. Experience in a construction industry setting.
Duties and/or Responsibilities
1. Supervises and coordinates overall administrative activities.
2. Process invoices company accounting software including JWS system.
3. Manage the collection process through customer contact and providing timely accurate information. Monitor and inform daily all appropriate personnel of delinquent accounts. Provide accounting assistance to company personnel as needed..
4. Support the credit application process by researching and gathering necessary documentation for review and approval by managment.
5. Manage the billing process by reviewing, verifying or correcting computerized information, such as price corrections, void, changes or adjustment verification with appropriate approval sign off by management. Allocate and post incoming payments to appropriate accounts. Print and mail daily/weekly invoices and monthly statements.
6. Manage pre-liens, condition and unconditional releases and stop notice filings.
7. Collect, review and input all employee timecards and records.
8. Process the time-input and pre-payroll requirements to meet weekly payroll.
9. Custodian of employee files including file maintenance.
10. Process all required reports for outside agencies such as garnishments, and certified payrolls.
11. Assist with human resource processes as needed.
12. *Always work safely and take action to prevent any and all unsafe actions, processes, and behaviors.
13. Must work as needed, given the unpredictability of how long jobs or trips will take, including overtime, nights, and weekends.
14. *Must maintain confidentiality of financial and personnel data.
15. *Must maintain the highest level of moral and ethical standards at all times.
16. Perform other duties as assigned.
17. Regular attendance.
Knowledge, Skills And Abilities
1. Basic understanding of sales tax.
2. Proficient computer skills using spreadsheet and accounting software.
3. Knowledge of accounts payable and maintaining general ledgers and account coding.
4. Ability to maintain a high level of accuracy in preparing financial information.
5. Ability to maintain confidentiality.
6. Highly proficient computer skills using computerized accounting, spreadsheet or wordprocessing software.
7. Analytical and problem solving skills.
8. Attention to detail and the ability to multi-task.
9. 10 key by touch
