Primary duties are to assist the Assistant Fleet Manager with documentation, reporting, lease administration and licensing and permitting. Performs duties under the direct supervision of the Asst. Fleet Manager. Duties will be performed in both office and shop environment. This position will be based in Riverside, MO.

Ability to self-direct and prioritize work. Must be able to multi-task. Ability to read and comprehend lease language. Requires strong organizational skills and continual attention to detail. General knowledge of accounting, lease administration and heavy truck licensing and permitting helpful. Effective verbal and written communication skills essential. Requires strong skills and knowledge of Microsoft Office applications, including Word, Excel, Outlook and the use of the internet.
Minimum Qualifications:

• High School diploma or GED required
• Two-year degree or equivalent Preferred
• 3 years administrative experience Required
• Basic familiarity with accounting, lease administration and heavy truck licensing and permitting helpful.
• Fleet experience a PLUS (not required)

• Monitors and tracks equipment & vehicles on a daily basis by job site, type and usage.
• Prepares purchase orders for rental equipment, tracks each piece of rented equipment by job site and job number.
• Helps maintain equipment security (GPS, locking devices, etc.)
• Documentation management, including filing, scanning, indexing, and maintaining any necessary logs.
• Spreadsheet and/or database creation and maintenance, as necessary, including various types of tracking.
• Assist with lease management, including initial contacts, initial review and necessary corrections.
• Obtain fleet special use permits.
• Coordinate with Asst. Fleet Manager for licensing of equipment.
• Initial preparation, and submission to accounting, of weekly internal billings.
• Run accounting reports, as necessary, for Asst. Fleet Manager.
• Work with Asst. Fleet Manager on monthly reports.
• Assist with obtaining pricing quotes and research.
• Prepare, or complete, and submit purchase/sale requisitions as necessary.
• Ensure proper completion and timely submission of Purchase Orders and Approved Invoices.
• Initial expense report review for coding correctness.
• Assists Shop Foreman and Field Service Foreman as necessary.
• Perform additional duties as assigned.
